Booking & Cancellation Policy

This Booking & Cancellation Policy applies to all safari bookings made with Azure Trips by Majestic (“Azure Safaris,” “we,” “us,” or “our”) through AzureSafaris.com or directly with our team. It should be read alongside our Terms & Conditions.

1. Booking Process

  • All bookings require a completed enquiry or booking form and are subject to availability.
  • A booking is confirmed only once the required deposit has been received and written confirmation issued.
  • Full traveler names (as they appear on passports), dates of birth, and passport details must be provided before final confirmation, as required by accommodation and park authorities.

2. Deposit and Payment Schedule

  • A non-refundable deposit of 30% of the total safari cost is required to secure your booking.
  • The remaining balance is due no later than 14 days before your departure date.
  • For bookings made within 13 days of departure, full payment is required at the time of booking.
  • Failure to pay the balance by the due date may result in automatic cancellation of your booking and forfeiture of the deposit.

3. Cancellation Policy

Cancellations must be submitted in writing to hello@azuresafaris.com. The following cancellation charges apply, calculated from the date we receive written notice, relative to your departure date:

Certain accommodations, private air charters, or peak-season bookings (e.g. gorilla trekking permits, Christmas/New Year) may carry stricter, non-refundable cancellation terms due to third-party supplier policies. Any such exceptions will be clearly stated in your booking confirmation.

4. Amendments to a Confirmed Booking

  • Requests to change travel dates, itinerary, or traveler details must be submitted in writing.
  • Amendments are subject to availability and may incur an administration fee plus any additional costs charged by our accommodation, transport, or activity partners.
  • Amendments made within [30] days of departure may be treated as a cancellation and rebooking, subject to the cancellation charges above.

5. No-Shows and Early Departure

No refund will be given for any unused portion of a safari due to late arrival, no-show, or voluntary early departure, regardless of the reason.

6. Group and Peak-Season Bookings

Group bookings and travel during peak season (e.g. July–September, December–January) may be subject to different deposit, balance, and cancellation terms, which will be specified at the time of booking.

7. Travel Insurance

Azure Safaris strongly recommends that all travelers purchase comprehensive travel insurance at the time of booking, covering trip cancellation, interruption, medical emergencies, and evacuation. We are not responsible for losses that would have been covered by adequate travel insurance.

8. Changes Made by Azure Safaris

  • We reserve the right to make reasonable changes to your itinerary due to circumstances beyond our control (weather, wildlife conditions, safety, government regulations, or supplier availability).
  • Where we must cancel a confirmed safari for reasons within our control, you will be offered a full refund or an alternative safari of comparable value.
  • Where cancellation is due to force majeure (see our Terms & Conditions), we will work with you on rescheduling options, though additional costs may apply and refunds cannot always be guaranteed.

9. Refund Processing

Approved refunds will be processed within 14 business days to the original method of payment, less any applicable bank or payment processing fees.
